Your trust is very important to us. Best Companies is committed to protecting the privacy and security of your personal information, including being transparent in how and why we collect this information.

This privacy notice describes how we collect and use personal information about you during and after the event as well as advising you of your individual rights.

Who are we?

Why are we processing your data?

We want to make the world a better workplace. People are at the heart of everything we do at Best Companies. We want to facilitate the opportunity for organisations to benefit from being part of the Best Companies family, creating the opportunity to share, learn and generate discussion on best practice and new ways of improving workplaces. We deliver this through our quarterly events of Best Companies Live. We believe having a live audience will provide further opportunity for building a community and supporting the sharing of views and best practice, as discussed by our panellists. Where you are part of a group, your group lead may have shared the following information about you, as a member of our live studio audience.

The personal data we may hold about you:

• Name

• Address

• Occupation

• Organisation

• Mobile number or landline number

• Email address

• Public social media account details

• Disability data and allergies (if applicable)

• Imagery of you which may include pictures, video content inc. audio

Who is the Data Controller?

Best Companies is the “data controller” of your personal information. This means that Best Companies decides what your personal information is used for, and the ways in which it is processed. For the avoidance of any doubt, your personal information will be collected and processed solely for the purposes set out in this privacy notice. As the data controller, Best Companies has the responsibility to comply, and to demonstrate compliance with, data protection law.

Lawful basis for processing your personal data

The legal basis on which Best Companies processes your personal information is Legitimate Interest. Our role with Best Companies is to serve those individuals in person and online audiences with content which informs, educates, and entertains.

Where Best Companies processes your special category data (if applicable), such as disability and health data, it is done so on the grounds that we have a duty of care for our clients. We want to make all reasonable adjustments where necessary to have an inclusive audience, we also want attendees to feel safe so we do request you make us aware of any allergies or health concerns you believe we should be aware of.

Sharing your data

Like most organisations, to provide the services we have a requirement to work with third party providers to undertake delivery of our services. These include a data storage provider to store the data collected and an event management platform to ensure that we are able to effectively manage our guest list, seating event check in and list of requirements. These third parties are known as data processors.

They are:

• MailGun technologies (Location: Germany)

• Zivver (Location: EU)

• Salesforce (Location: EU)

• FreshWorks (Location: EU)

• Zkipster (Location: EU)

We ensure that our processors have all entered into an appropriate contract, which ensures they cannot do anything with your personal data except as we have instructed them to do. Our processors only use your personal data on behalf of Best Companies and not for their own use.

We will not sell or provide your data to other third parties.

Research and marketing

Your name, email address, company and job title may be used for marketing purposes, to keep you updated on future events and services of Best Companies. You may object to receiving marketing at any time by contacting support@b.co.uk or by selecting to unsubscribe.

Following the event, you may be contacted for feedback, this is to help us improve for future events.

During the event you will be asked to respond to certain questions using the controls provided. The controls are provided randomly. Your selection choices are designed for live audience participation, and we will be unable to match your response back to you.

Data storage and retention

The personal data collected will be stored within the UK and EEA. We will retain your details for the purposes of the event. Where we have a legitimate interest to do so, we may retain your personal data post event, for marketing purposes. Where you choose to opt out of future marketing, we will delete your information from the Best Companies Live database. You may re-register as a new participant at any time. We may have a requirement to retain your personal data where your organisation has selected to receive certain services from Best Companies. Imagery

This is a live event, images (still and moving including audio) taken on the day, will become part of the Best Companies Live broadcast. An image of any individual located in the studio, guest speaker, studio audience and members of the crew may be captured whilst on location. Images captured in addition to the live broadcast will be retained for historical purposes, and for marketing and promotional material for the organisations of the guest speakers and future events.

Your rights and more information

You have rights under data protection law.

You can request a copy of the personal data Best Companies stores about you.

You have the right to ask for the personal data we collect about you to be deleted however there are limitations and exceptions to this right which may entitle Best Companies to refuse your request.

In certain circumstances, you have the right to restrict the processing of your personal data or to object to the processing of your personal data.

You have the right to ask that we transfer the personal data to you or to another organisation, in certain circumstances.
